When do my bills sync with Xero?

The Paytron bills product offers a 2-way sync with Xero. Bills created in Xero will be automatically imported into your Paytron account, and bills created in Paytron will be automatically sent to Xero and updated as you pay them off.

This page will step you through when syncs happen between Xero and Paytron, and what to expect.

When do bills in Xero get sent to Paytron?

The Paytron bills product is fully integrated with the Xero Bills to pay offering, importing your bills into your bills dashboard ready to be paid.

Xero bills will be sent to Paytron for the first time when they reach the Awaiting Payment status in Xero. When this happens, Paytron will receive the following information:

  • The full bill information, including any line-item information you may have added to your bill.
  • Information about the Xero contact associated with your Xero bill.
  • Information about all attachments that are added to the bill.

Xero will also let us know about any payments or credit notes added to a bill. If your bill in Xero is paid off via a payment, batch payment or credit note, Paytron will automatically adjust the outstanding amount on the bill.

When Xero sends a bill to Paytron, depending on the level of contact information available it will go to either your drafts list or awaiting payment list.

Xero allows you to store information about your contacts in their Contacts product, however as a payment provider Paytron may need additional information to facilitate payments.

If your contact already exists in Paytron, your bill will go straight to Awaiting payment in Paytron. If we require more information to support payment, the bill will instead be added in Draft.

When do Paytron bills get sent to Xero?

Bills in Paytron will be sent to Xero for the first time when they reach the Awaiting payment status. Paytron will send all information associated with your bills, including:

  • The full bill information, including any line-items you may have added to your bill.
  • Information about the Paytron recipient if they do not exist in Xero as a contact already.
  • Any attachments that you have added to your bill.

How long does it take for my bills to be sent to Xero?

If this is your first-time sending bills to Xero from Paytron, there may be a short delay before your bill and any attachments are visible in your Xero account.

To make sure we can successfully update your bill, Paytron needs to make sure contacts, bank accounts and account codes are all in place. Your first-time syncing bills to Xero may take a few minutes for Paytron to put everything in place.
